A commission tracker built for how recruiters actually get paid

Most “commission trackers” are generic sales sheets that don’t know what a placement is. This one does. It handles the two ways staffing money actually comes in — a perm fee (a percent of first-year salary) and a contract margin (the spread between your bill rate and pay rate) — and it tracks the thing that quietly costs recruiters the most: fall-offs inside the guarantee window, where a placement leaves and the fee gets clawed back.

The math it does for you:

  • Perm fee — first-year salary × your fee %.
  • Contract margin — (bill rate − pay rate) × hours/week × weeks.
  • Splits — owner % vs. sourcer %, per deal, overridable.
  • Draw reconciliation — commission earned minus the draw you’ve advanced.
  • Clawback / fall-off flag — every placement still inside its guarantee window gets flagged ⚠ AT RISK; mark one “Fell Off = Yes” and its commission reverses automatically.

Recruiter commission tracking, answered

How do you calculate recruiter commission on a placement?
Two ways, depending on the placement. Perm: the fee is a percent of the candidate’s first-year salary (20% on a $100k hire = a $20,000 fee). Contract: you earn the margin — the spread between your bill rate and the pay rate — times hours per week times weeks. This free Google Sheet does both automatically; you just type the numbers in.
What is a commission clawback / fall-off in staffing?
A fall-off is when a placed candidate leaves (quits or is let go) inside the guarantee window you gave the client — usually 30, 60, or 90 days — and the fee gets reversed or refunded, so the commission is “clawed back.” The tracker flags every placement still inside its window as ⚠ AT RISK, and reverses the commission automatically when you mark a deal as fallen off.

Does it handle splits and recruiter draws?
Yes. Each placement has an owner and an optional sourcer with a split percentage, so the commission divides automatically. The Recruiters tab tracks each person’s monthly draw and shows their draw balance — commission earned minus the draw they’ve been advanced — so you can see who’s ahead and who still has to earn theirs back.
